A feature checklist is more useful when each item includes a test. Document storage, task tracking and reporting can mean very different things across plans. Define the behavior you need and request a demonstration with your own approved sample.
Document history: replace a file and inspect its approvals
Upload a draft, approve it, execute it and add an amendment. Verify that users can identify the operative set without losing prior records. Try replacing an approved file and check whether affected approvals are reopened.
Deadline ownership: change a trigger and remove an owner
Enter a verified date with its source and owner. Change a relevant trigger and inspect dependent tasks. Test an absent owner, a failed reminder and an overdue task. A useful dashboard distinguishes an unaccepted task from one in progress.
In a hypothetical demo, a system advertises deadline tracking but changing the accepted trigger date leaves dependent tasks unchanged. The evaluator records that limitation and the required manual control. The feature name alone does not pass the office’s dependency test.
Collaboration: inspect every guest view
Invite internal and external roles and inspect their views. Confirm who can comment, edit, approve and download. Check that sensitive documents are not exposed through a general status link or notification.
Reporting and export: reconcile what leaves the system
Compare reported active, closed and cancelled counts with the underlying sample records. Export the documents, task history and available review evidence. Confirm the files open and the data can be interpreted without the vendor dashboard. Include optional modules in the price comparison.
This is a product-agnostic acceptance checklist, not a certification or a claim that every transaction needs every feature. A passing test does not replace supervision or establish legal compliance. Re-test when plans, forms or workflows change.

- Version and approval behavior demonstrated.
