Broker transaction software should support supervision, not imply that an automated checklist replaces it. Evaluate whether the broker can see what needs review, who accepted responsibility and which exceptions remain unresolved across offices.
Presence checks are not substantive approvals
List the documents and approvals required by your office’s applicable policies and obligations. Assign a reviewer and backup to each gate. Separate missing-document checks from substantive review; a present document can still contain a problem.
Hypothetical example: In a fictional two-office brokerage, a file passes a document-presence checklist but its reviewer flags conflicting purchase amounts. The file remains pending substantive review rather than appearing fully approved. When the responsible supervisor is away, a named backup accepts the exception and records the resolution against the corrected version.
Who sees, owns and reopens a review?
Create sample files from two offices and multiple agents. Verify that a supervisor sees the relevant queue without exposing unrelated client information. Test reassignment during absence, returned files and overdue review. Require a reason and history for any bypass.
Ask the system to demonstrate what happens when an approved document is replaced or a material amendment arrives. The record should show who approved which version and whether the later change needs review. An old approval badge should not cover a new document automatically.
Reconcile the supervision report to the underlying file
Compare dashboard totals with a sample of underlying files. Check whether closed, cancelled and reopened transactions are distinguished. Export documents and the review history in usable formats, and price the access needed for supervisors, assistants and departing agents.
Software cannot establish that every regulatory obligation has been met or that a reviewer’s judgment was correct. Multi-state or specialist operations may need different policies. Reports based on inconsistent status definitions can mislead even when the arithmetic is accurate.
Brokerage acceptance criteria
