The 2023 reference in this article’s title is historical, not a claim that a 2023 price is available today. Without dated vendor quotes, a defensible affordability guide should explain how to compare costs rather than reconstruct a historical best-buy list.
What kind of signature requirement are you buying?
Electronic signature is the broad category of an intentional electronic signing act. A cryptographic digital signature is a technical mechanism for verifying data integrity and a relationship to a key. Not every electronic-signing service uses a signer-held certificate or the same identity checks. Ask which requirement your document actually has.
Calculate the same-volume bill
Record seats, monthly requests, average signers and required authentication. Add subscription, overage, SMS, API, storage and support charges. Check whether unused volume expires and whether annual billing creates a commitment. Use a dated quote rather than a search snippet.
For a hypothetical month, plan A costs $12 plus $2 for each request above five. At 15 requests it costs $32. Plan B costs $25 including 20 requests, so B is $7 cheaper at that volume. At four requests A is cheaper. These invented plan labels and amounts are arithmetic examples, not 2023 or current vendor prices.
A cheap plan still has to pass the document test
Try a multi-signer file, a correction and a complete export. Verify whether a trial or free plan permits the intended commercial use and record volume. If the needed audit evidence or export is unavailable, the plan fails the requirement even if it has no subscription fee.
Affordability depends on volume and required controls, not just advertised starting price. No low-cost service is automatically secure or suitable for a particular form. Legal recognition does not require a particular brand or price tier.
Include the effort of keeping and leaving the service
Count staff preparation, client support and reconciliation time separately from cash fees. Confirm what happens to access after cancellation and how long records remain downloadable. Do not put the only executed copy behind an account that may lapse.
- Quote date and billing commitment recorded.
- Same seats and request volume compared.
- Required evidence and export tested.
- Usage charges and cancellation terms included.
- Historical title not mistaken for a current offer.
The ESIGN definition in 15 U.S.C. § 7006(5) centers on intent and association with the record, not a mandatory PKI product.
